Privacy Policy
Last updated October 12, 2026
Realtool is a tool for real estate agents. This policy explains what information we collect, how we use it, and the choices you have. Questions? Email support@realtool.site.
Who is responsible
Realtool is operated by Billy Barbour in Newfoundland and Labrador, Canada, who is responsible for your personal information under Canada's PIPEDA. Privacy questions and complaints go to the email above. If we can't resolve a complaint you may contact the Office of the Privacy Commissioner of Canada.
Who this covers
Agents who create an account, and visitors who view an agent's public property page or digital card, or send an inquiry through one.
What we collect
- Account information: your name, email address, password (stored hashed by our authentication provider, never in plain text), and the profile details you add (brokerage, phone, bio, photo, license number).
- Listing content: addresses, prices, descriptions, photos, voice transcripts you choose to dictate, and the copy generated from them.
- Visitor inquiries: when someone submits the contact form on a public listing page, we store their name, email, phone number (if given), and message, and email them to the listing agent. The agent is responsible for how they use that information.
- Usage data: an anonymous view count for each public listing page, and standard technical data (pages visited, device and browser type) used for site analytics and security.
- Billing: payments are handled by Stripe. We store only your Stripe customer ID and plan status; we never see or store your card number.
How we use it
- To run the service: create listings, generate copy, host public pages, deliver inquiries.
- To process payments and manage your subscription.
- To send account and service emails (confirmations, password resets, inquiry notifications, brokerage join requests).
- To keep the service secure, prevent abuse, and fix problems.
- To understand which parts of the site are used so we can improve them.
We do not sell your personal information, and we do not use it for third-party advertising.
AI processing
To generate copy, label photos, translate text, and structure voice transcripts, we send the relevant listing text, photos, and transcripts to Anthropic's API. Under Anthropic's commercial terms, content sent through the API is not used to train its models. Spoken walkthroughs are transcribed by your own browser's speech recognition feature, which depends on your browser vendor's service and privacy policy.
Service providers we share data with
We use these providers to operate Realtool, each only for its stated purpose:
- Supabase — database, authentication, and file storage
- Vercel — hosting and site analytics
- Stripe — payment processing
- Resend — transactional email delivery
- Anthropic — AI generation
- Mapbox and Geoapify — maps and address lookup
Some of these providers process data in the United States or other countries, so your information may be stored and processed outside your own country.
What's public
When you publish a listing, its public page — address, photos, price, description, and your agent name and contact details — is visible to anyone with the link and may be indexed by search engines. Your digital card page is likewise public. Don't publish anything you don't want shared.
Cookies
We use only the cookies needed to keep you logged in and to keep the site working. Our analytics are privacy-friendly and do not use advertising cookies.
Retention and deletion
We keep your information while your account is open. To delete your account and its data, or to get a copy of your data, email us from your account's email address and we'll act within 30 days. Records we must keep for tax or legal reasons (such as payment records held by Stripe) are retained as required.
Your rights
Depending on where you live (for example under Canada's PIPEDA or provincial law, or the GDPR and CCPA), you may have the right to access, correct, export, or delete your personal information, and to withdraw consent. Email us to exercise any of these.
Security
Data is encrypted in transit, access to your records is restricted by row-level security, and payments are handled by Stripe. No system is perfectly secure, so we can't guarantee absolute security.
Breaches
If a security incident puts your personal information at real risk of significant harm, we will tell you and the Privacy Commissioner as required by law.
Children
Realtool is for professionals and is not directed at anyone under 18.
Changes
If we make material changes we'll update the date above and, for significant changes, notify account holders by email.
